1. About these Terms

These Terms of Service govern your use of the BALTUM self-assessment and readiness tools ("the Platform"). By creating an account or using the Platform, you agree to these Terms. If you do not agree, please do not use the Platform.

2. What the Platform is — and what it is not

The Platform provides a Certification Readiness Audit: a structured self-assessment, supported by AI, that helps you understand how prepared your management system is for an internal, initial certification, surveillance or recertification audit.

The Platform does not perform an official certification audit. Results produced by the Platform:

• are not a certification decision and do not grant, confirm or guarantee certification;
• are not an accredited auditor's opinion;
• are based solely on the answers and materials you provide, without independent verification;
• do not replace a formal audit carried out by a competent auditor.

Final decisions in any formal audit or certification process are made by a competent auditor or certification body, independently of any result or recommendation shown on the Platform.

3. Accounts and accuracy of information

You must provide accurate contact and company information and keep it up to date. You are responsible for the confidentiality of your account credentials and for all activity carried out under your account. Please notify us promptly if you believe your account has been accessed without authorisation.

You confirm that you are authorised to represent the company you register and to submit information on its behalf.

4. Your content and materials

You retain all rights to the answers, documents and records you submit. You grant BALTUM a limited right to process this material solely in order to provide the Platform and the services you request — to generate your results, reports and recommendations.

You must not upload material you are not entitled to share, or material containing credentials, payment card data or other secrets that are not necessary for the assessment.

5. Use of AI

The Platform uses AI to ask follow-up questions, structure your answers and draft preliminary observations. You acknowledge that:

• AI-generated output may be incomplete or incorrect and must be reviewed by a competent person before being relied upon;
• the AI does not act as a certification body and does not issue formal findings;
• formal audit findings are never confirmed without human review by a qualified auditor;
• your data is not used to train AI models, and data belonging to one organisation is never used to produce results for another.

6. Recommendations and independence

Your results may include recommendations for BALTUM consulting, audit or certification-support services. These are commercial suggestions only. They do not oblige you to purchase anything, and they must not be treated as influencing the outcome of any formal audit or certification decision.

7. Acceptable use

You agree not to:

• attempt to access data belonging to another organisation;
• probe, scan or interfere with the security or availability of the Platform;
• use automated means to extract the question bank or other Platform content;
• present Platform output as an official certification audit or as an accredited auditor's opinion;
• resell or provide the Platform to third parties without our written agreement.

8. Availability and changes

We work to keep the Platform available and accurate, but we provide it "as is" and may change, suspend or withdraw features. Free assessments may be subject to usage limits.

9. Limitation of liability

To the extent permitted by applicable law, BALTUM is not liable for indirect or consequential loss, for lost profits, or for decisions taken on the basis of Platform output without review by a competent auditor. Nothing in these Terms limits liability that cannot be limited by law.

10. Personal data

We process personal data as described in our Privacy Policy. Consent to receive marketing communications is separate from these Terms, is entirely optional, and is never a condition of receiving your assessment results or report.

11. Termination

You may stop using the Platform and request deletion of your account at any time. We may suspend or close an account that breaches these Terms or is used to compromise the Platform or other users.

12. Changes to these Terms

We may update these Terms. The version in force at the time you accepted it is recorded with your account. Where changes are material, we will notify registered users.
